Models like Milena D. haven't done shoots for a whole bunch of companies, so it's not too hard to keep track of her stuff. But a hardcore model like Ioanna has done stuff for probably a dozen or so companies. So with her, I make sure all of her single folder names start with the company name. That way, if I find a set from DDF set that I'm not sure if I have or not, I can open her folder and see all the DDF sets in a row. It also helps to speed things up if you chose to repost something.
I keep an Odds&Ends file, too. Anything that doesn't seem to fit gets dumped into it.
The main thing is to keep it simple so you can easily find what you are looking for. And so it's easy to back them up on a portable HD.

Initially it was not a problem but recently due to a large collection its necessary for me to arrange things a bit better.

I'd like to organize my videos better, but I don't do such a good job 
every 30-40 gbs I'll make a new folder, or if I get a lot of videos off a specific site I'll make a folder just for that. I have a explicit (pornstars), normal (simulated), Explicit other (hardcore in mainstream) folders, but they're pretty empty compared to others I have. I've just recently been renaming them to make them more easier to find if I want to search and to group them together to maybe edit the videos together so an actress doesn't have 20 videos and I can make her into one or two.

(I've changed this a bit over the years but that obviously is not wise, as I've then had to update my internal video links.) I'm trying to combine logic & distinctiveness, as this is how I must THINK of the individual girls, even after months of ignoring them. No, I don't use any software.
I start with race, as that's usually easy enough to determine & remember, even though it does not split folders into equally sized groups. Then I go with hair color. This is of course a lot less simple, as so many gals change their hair colors or start out as sort of a cross between brown & blonde in the first place. I just have to remember what I originally thought of them as. (Also not always easy.) This has the added advantage though of my, when I'm in the mood for porn, likely being in the mood specifically for redheads or asians or whatever.
Then I subdivide those sets into younger & older of each, as I'm also often in the mood for blonde teens or brunettes my own age or whatever. Of course recalling which age set I split gals into is even harder but it sure helps keep the number of my folders more manageable. And I also split off the (non-porno) actresses. Whether they've done some nude scenes or not or done some nude shoots or not, I generally do think of them separately from porno actresses & models. Likewise for fashion models, as opposed to porn models, though, no, I do not split off all nn models. ('Confused yet?) I also have subfolders for marginal gals. I may be dopey for keeping many of those and do not visit them very often but maybe in a few years I'll wonder about "that ugly redhead with her fist up her twat" and enjoy seeing her again.
With them all lumped together, at least they don't interfere with my searches for hot babes, unless I specifically am looking for one of the skanks.
I still (stupidly) have my ATK gals split off separately (which is especially dumb, as I have more pix of many of them from non-ATK sites, but I'm too lazy to reorganize EVERYTHING). Yes, I do use some shortcuts but try to keep those to the minimum, as splitting my redheads in half by age to make my screen folders more comprehendible serves no purpose if I fill the screen back up with a ton of shortcuts. When I have sets featuring multiple girls, I'm rarely interested in more than one of them.
Names is bad enough. I make individual name.txt files for each gal who I find a lot of different names for but I generally do not stick most of those on the girl's main folder title. I just have to remember what -I- think of each girl as; that's probably my biggest problem in finding girls I haven't been interested in for a long time but then get a craving for.
I use more-or-less the same system for organizing my video-player. I label the playlists starting with hair color or race and then age, if I have more than one gal's videos with that name, and hardcore or not. The nice thing about videos is that I can bury them deeper, unlike photos, as I almost never access them individually except through playlists.
It sure would be easier if models quit changing their hair colors and stage names but I guess I can't really complain too much.

I used to have a collection but I deleted it when the Internet got big. Why clog up a hard drive with aging girls when there's so many fresh ones out there?
Strange, the girls in my pics from 1997 still look as young as they were 15 years ago
PS: with ACTA and such coming along I wouldn't delete too much of the "old" porn - sooner or later the well with the new stuff might dry up
